Send one clear request per location

Use a property reference and town, then list the affected equipment and reported symptoms. Keep different buildings distinct so access instructions and approvals do not get mixed. Tell us whether the tenant has already been contacted.

Set approval and access roles

Name the person who provides access and the person who approves the scope. If those are different people, explain how a change should be authorized. Agree on the information needed after the visit, such as findings and proposed follow-up work.

Plan recurring needs separately

A group of pending repairs or a periodic review can be discussed as an organized scope. An individual inquiry does not create an ongoing maintenance contract or guaranteed response time. Coverage and capacity are confirmed for each property.
